Legal PA - Orkney

The role

The successful applicant will join our team of 3 Solicitors based in Kirkwall.  You will carry out reception duties, ensuring that the Anderson Strathern experience is a positive one for visitors and callers.  You will also provide secretarial support to the fee earners, and carry out a number of interesting and varied administrative and organisational tasks.  Through time, you will become involved in assisting with Estate Agency tasks.

You will be responsible for

  • Welcoming clients and visitors to our office, providing a discrete yet personal welcome and a seamless service
  • Taking copies of documentation from clients
  • Diary management and booking meeting rooms for Solicitors
  • Assisting with booking travel and accommodation
  • Allocating/saving emails received into the general Kirkwall office mailbox
  • Audio and copy typing
  • Assisting with organising client events and seminars
  • Providing back-up to the Lerwick reception/PA team when required
  • General administrative tasks including answering the phone, dealing with mail, filing and printing, document indexing and title enquiries/research for Solicitors
  • Assisting with all aspects of Estate Agency administration. This might include compiling and preparing all property sale particulars for the website, liaising with the seller to ensure all details are accurate, keeping seller up to date on sale progress, assisting with estate agency enquiries, and organising property viewings. You may also be required to conduct property viewings on behalf of clients.

What you will need to succeed

  • Previous experience is preferred in an administrative role however training will be provided
  • Accurate typing skills
  • Excellent attention to detail
  • Excellent communication and organisation skills
  • Understanding and adhering to client confidentiality in all aspects of work
  • The ability to act professionally at all times, and enthusiasm for providing a quality service to clients
  • Experience of MS Office, particularly formatting in Word and the use of Outlook.  Working knowledge of Excel and Access would also be advantageous
