Administrator - Central Administration Team

We have exciting opportunities for Administrators to work as part of our new Central Administration Team. Working in either our Glasgow or Edinburgh office

 

Purpose of the role

As a key member of the team you will have a varied and interesting workload, supporting the fee earning departments as well as the various support departments.  You will support people at all levels across the firm, providing day to day administrative support as required.  Your tasks will include (but are not limited to) those in the list below:

  • Scanning and distributing incoming mail and preparing outgoing mail for signing/sending, ensuring all enclosures are correct and occasionally making hand deliveries.
  • Photocopying, scanning, printing, binding, filing and archiving documents
  • Supporting the preparation of bulk documentation, files and bundles including printing, scanning and saving
  • Using PDF Docs to help put legal bundles together, paginating papers and reduce file sizes
  • Providing reception cover on a rota basis with the other Administrators, including setting up for meetings and events, helping to order and organise tea, coffee and catering as required
  • Maintaining and ordering stationery and printer paper/toner, including regular checks of copiers to ensure they are filled
  • Assisting with ad-hoc departmental and firm wide projects
  • Assisting with Central Records processes, including processing, retrieval and management of documents in storage and distributing incoming documents to fee earners
  • Helping to maintain client and other external portals including uploading documents and information as instructed
  • Assisting with diary management including sending out invitations to groups of people and helping to maintain training logs
  • Helping with uploading/downloading bulk documents from and to USBs and other portable media, all in accordance with the firm’s IT and Information Security Policies

What you will need to succeed:

  • Ideally candidates should have least National 5 qualifications (or equivalent) in English and Maths/Application of Maths
  • Excellent IT skills, including MS Word, Excel and Powerpoint and an ability to learn new IT systems quickly
  • Excellent interpersonal and communication skills to liaise and work well with all staff and Partners
  • A flexible, positive, “can do” attitude to provide timely responses to all work requests
  • A willingness to carry out a large variety of tasks
  • Be highly professional with a drive for high standards
  • Be willing to undertake training and learn new skills as required
