Assistant Administrator - CRE - Glasgow

An exciting new vacancy has arisen in our Glasgow office for an Administrator who is keen to learn and looking to develop a career within Anderson Strathern.

You will provide administrative and PA support, working closely with the Senior Legal PA within Commercial Real Estate and in the wider PA Services Team when required. This role is solely office based in our Glasgow office.

Flexibility is key as there will be a requirement to support fee earners at all levels within the department with a broad range of tasks and you may, on occasion, be asked to help other departments within the firm if needed.  You will take instructions directly from the Senior Legal PA as well as fee earners within the Department, carrying out those instructions diligently and with great attention to detail.

The tasks you will carry out are included in, but not limited to, the list below.

You may be responsible for:

  • Assisting with billing
  • Assisting with Dataroom management, including uploading and downloading documents (sometimes in large volumes)
  • Typing and formatting documents using Word, Excel and Powerpoint
  • File opening and onboarding clients
  • Scanning, saving, and distributing incoming mail
  • Photocopying, scanning, printing, binding, filing, and archiving
  • Supporting the preparation of bulk documentation which may include plans and other attachments
  • Using PDF Docs to pull legal documents together, paginating papers, and reducing file sizes
  • Assisting with ad-hoc departmental projects
  • Diary management

This role has excellent career progression prospects for the right candidate, and you will receive training to allow you to assist with legal secretarial duties (including diary management, dictation, formatting and amending documents, raising invoices, and completing Cashroom forms), which will allow you to progress your career towards becoming an experience Legal PA.

What you will need to succeed

  • Experience not essential – however a “can do” attitude is!
  • Good IT skills including Word, Outlook, PowerPoint and Excel
  • Good presentation skills with an eye for detail
  • Confidence to ask questions and to make suggestions for change
  • Good communication and listening skills with the ability to liaise and work well with partners, fee earners, business support staff and other PAs
  • An ability to demonstrate common sense and a methodical approach
  • A professional manner at all times as you will be a representative for the firm
  • Enthusiasm, commitment, flexibility and a positive attitude to learning new skills
  • Ideally candidates should have National 5 (or equivalent/demonstrable ability) in English
  • A genuine desire to develop a Legal PA career
