Central Administrative Assistant - Glasgow
We have an exciting opportunity for Central Administrative Assistant to work in our Central Processing Team (CPT), based in Glasgow.
You will report to the Facilities Supervisor but on a day-to-day basis, you will liaise with the Client Services Executive on workloads, for any advice, etc. You will be responsible for ensuring workflows are streamlined and effective and will provide support to all departments.

The role will involve
- Managing the CPT and Central Records inbox ensuring work is carried out accurately and within specific turnaround times
- Processing all incoming and outgoing mail, ensuring timely distribution and dispatch
- Introducing streamlined processes using technology to improve service delivery and training staff accordingly
- Maintaining office equipment and MFDs around the office with regular checking and replenishing paper supplies, etc
- Coordinating courier collections, special deliveries, and tracked items being cognisant of delivery times and cost implications
- Assisting the Client Services Executive with regular CPT meetings to improve service delivery
As a central administrative assistant, you will be expected to
- Provide support and ad hoc cover to reception team.
- Retrieve and storing documents securely from onsite and offsite storage facilities
- Manage the firm’s Wills and Power of Attorney databases.
- Open and close matters for clients as well as closing at completion
- Ensure your working area are tidy at all times
About you
- Experience in administration and record keeping
- Excellent Microsoft skills and a technical aptitude to learn new skills
- Strong communication and organisational skills
