Introduction
We have an exciting new vacancy within our highly regarded Private Client department for an experienced Administrator based in our Edinburgh office. The role will include direct involvement with all PC fee earners and other departments/offices. You will work closely with the existing Private Client PA team to provide consistent, high level administrative assistance to a busy and friendly team. You will be a part of the wider PA Services team for support and guidance.
The role will suit a forward thinker, who uses their initiative to anticipate the needs of the department as well as being able to react quickly and effectively. With particular focus on client service, finance and department projects, you will quickly become a vital part of the team and have a flexible approach to help other departments if required. Training will be provided on an ongoing basis to enhance your skills.

Our Private Client department is a dynamic group of legal professionals based in Edinburgh, Glasgow, Haddington, Orkney and Shetland. We have extensive knowledge and skills of Trusts, Private Client Tax, Heritage Property, Succession Planning, Wills, Powers of Attorney and Incapacity. We are known for dealing with high net-worth individuals, families and estates across Scotland. We are collaborative, innovative and proud of our role in providing a first-class service to a wealth of clients across the country.
The role will involve
Dealing with all duties in line with the firm’s processes and procedures such as:
- General administrative duties including the distribution of incoming and outgoing mail, photocopying, scanning, printing, binding, filing and archiving documents
- Production of bulk documents bundles using PDFDocs;
- Assistance in the creation of finance reports, billing guides and cash room entries
- Support of Central Records processes, including requesting offsite documents, sending documents back to storage and distributing incoming documents to fee earners
- Maintenance of client portals including uploading documents
As an Administrator, you will be expected to
- Use all relevant IT packages competently including Word, Excel, Powerpoint, Outlook, Aderant keeping your knowledge up to date by attending regular training as required.
- Produce all work to an exceptional standard, with minimal error and within designated timescales.
- Carry out a significant workload and tasks as instructed with minimal supervision.
- Develop your client relationship and client care skills.
- Take responsibility for department administration, projects, and help to organise department events.

- Excellent IT skills including technical proficiency in Microsoft products.
- Good communication and interpersonal skills with the ability to liaise at all levels.
