Legal PA - Dispute Resolution - Glasgow

Our team
We are a dynamic and ambitious practice with an unrivalled breadth and depth of expertise in dispute resolution. The Head of Department is Tom McEntegart, partner and solicitor advocate.
The role will involve
The role will include direct involvement with all of our DR fee earners, and other departments/offices. You will ideally have several years experience in a commercial litigation environment and you will be expected to provide a high standard of secretarial and general administrative support to a number of Partners and other fee earners within a lively, friendly department. You will also be a part of the wider Legal Support team who work together to provide support and guidance across the whole of the firm.
The role will suit someone who eager to provide a high quality of secretarial and administrative service to fee earners, who uses their initiative to anticipate the needs of their fee earners, removing the administrative burden from them as well as being able to react quickly and effectively to an ever-changing workload. You will quickly become a vital part of the team and have a flexible approach to help other departments if required. Training will be provided on an ongoing basis to enhance your skills as needed.
You may be responsible for
Dealing with all duties in line with the firm’s processes and procedures such as:
- Open new matters and onboard clients (including conflict checks, AML and LoEs) in accordance with the processes set out by the Risk & Compliance team.
- Fast and accurate audio and copy typing and document formatting
- General administrative tasks as requested by fee earners, including dealing with and distributing incoming mail, copying, scanning, printing, binding, filing and archiving; booking travel, accommodation and training courses and helping download and upload documents to and from datarooms or USBs.
- Assist with the production of a high volume of invoices accurately, including producing and sending fees to clients with any supporting information reports
- Uploading invoices for processing and arranging transfers/payments with Cashroom support on behalf of clients.
- General client/matter management including regular proactive review of file lists; deal with client mandates; client portal maintenance.
- Receiving and making telephone calls, relaying messages and information quickly and accurately
- Assisting with the management of a number of diaries, including Critical Dates diary and Court Diaries
As a Legal PA, you will be expected to
Use all relevant IT packages competently including Word, Excel, Powerpoint, Outlook, Aderant keeping your knowledge up to date by attending regular training as required.
- Have a high level of client involvement – via email/phone with clients and fee earners.
- Produce all work to an exceptional standard, with minimal error and within designated timescales.
- Carry out a significant workload and tasks with minimal supervision.
- Confidently delegate tasks to Administrators, Central Administration and others where necessary.
- Develop your client relationship and client care skills.
- Take responsibility for department administration projects and help organise department events.
- Contribute to the firm’s business development activities, eg on tenders, updating credentials, etc.
- Attend all mandatory training and proactively seek additional training to enhance your knowledge.
- Share skills and knowledge with other members of the Team.
- Assist other Legal Support team members whenever possible with high priority jobs and provide cover during holidays and other absences.
What you will need to succeed
- Several years’ experience in a similar role, ideally within a litigation/dispute resolution department and with a competent knowledge of legal practice, particularly court of session/sheriff court work.
- A well-organised, methodical and pro-active approach to work and an ability to prioritise your workload to meet deadlines.
- Excellent IT skills including technical proficiency in Microsoft products especially in Word, Excel, Outlook and Powerpoint, with attention to detail in document production and formatting.
- Fast, accurate audio and copy typing skills, with a minimum speed of 60wpm.
- Good communication and interpersonal skills with the ability to liaise at all levels.
- Accuracy in all aspects of your work ensuring all is to a high standard with an eye for detail.
- An enthusiastic, positive and professional attitude.
- Commitment, flexibility and a willingness to assist other teams; learn new skills and share existing skills with colleagues.
- Confidence working with figures and a good working knowledge of Word and Excel would be advantageous.
