Assistant Administrator

This new vacancy is based in our Glasgow office within our Employment department.

An exciting new vacancy have arisen in our Glasgow office for Assistant Administrators who are keen to learn and looking to develop a career within Anderson Strathern.  You will work primarily in our Employment Department, providing junior PA and administrative support and working closely with the Senior Legal PAs; or you will work within our Central Processing Team (CPT) providing support to various departments throughout the firm.

You will receive excellent training from our Learning & Development team as well as Department specific training from the PAs within the Department you join.

Flexibility is key as there may be a requirement to support other departments within the firm if needed.  The tasks you will carry out may include, but will not be limited to, the list below.

General Responsibilities:

  • Scanning, saving, and distributing incoming mail
  • Photocopying, scanning, printing, binding, filing, and archiving
  • Supporting the preparation of bulk documentation, files, and bundles
  • Using PDF Docs to pull legal bundles and large documents together, paginating papers, and reducing file sizes
  • Helping to maintain our Interaction database
  • Providing ad-hoc cover for reception
  • Setting up for events/large meetings
  • Maintaining stationary and printer paper/toner
  • Making hand deliveries
  • Training in and assisting with Legal PA duties (including dictation, formatting and amending documents, raising invoices, and completing Cashroom forms)
  • Assisting with ad-hoc departmental projects

Department Specific Tasks:

  • Employment, Pensions & Immigration: Assisting with billing for Department and wider firm clients, including producing fee breakdowns and MI reports; producing bulk documents bundles using PDFDocs (including inventories), diary management (including Tribunal diary), completing expenses claims, opening new matters and file management.  Confidence working with figures and a good working knowledge of Word and Excel would be advantageous.

What you will need to succeed

  • Ideally, candidates should have National 5 (or equivalent/demonstrable ability) in English
  • Have good computer skills including Word and Outlook (PowerPoint and Excel would be helpful but not absolutely necessary)
  • Good communication skills with the ability to liaise and work well with partners, fee earners, business support staff, and other PAs
  • Have good presentation skills with an eye for detail
  • Work with enthusiasm, commitment, and flexibility
  • A genuine desire to develop a career within a legal office
